COMPANY OVERVIEW

A foreign Consulting firm is looking for an Accounting manager cum HR-Admin.
This position is responsible for overseeing the HR, Admin and Accounting Team ensuring that it is productive and functioning accordingly

JOB RESPONSIBILITIES

CORPORATE PERFORMANCE MANAGEMENT SUPPORT
  • Prepare documents for the following: Head Office Board meetings, Group Business Report Meeting every month, and Vietnam Division Managers Meeting every month
  • Review contents of company-wide budget reports and prepare a Monthly Budget Control Chart for discussion with the Directors.
  • Review various business and legal contracts, company expenses and other HR/IT/General Administration matters
  • Prepare documents and attend to annual internal and external audit concerns.
  • Consolidate GP Timesheet/Utilization Tracker of all departments and prepare GP Analysis Chart.
  • Perform other duties as assigned by the Directors, and/or Head Office.
INTERNAL HR-ADMIN MANAGEMENT
  • Assist the Directors in preparing long-term and short-term budget plans, manage department costs, and strategize to meet monthly budget targets.
  • Monitor the monthly department calendar.
  • Consolidate, review, report, and recommend approval (if applicable) of all employee movements such as hiring, labor contract renewal, resignation, salary adjustment, etc. to the Directors.
  • Review and recommend the approval of other HR requests, programs, and initiatives such as training programs and enrollments, employee engagement programs, policies, etc.
  • Ensure that the employee database or master list is regularly updated and that employee records are properly kept.
  • Review and recommend the approval of departmental expenses such as, company events, outsourcing contracts, purchased supplies, rentals and all Legal and Admin-related contracts.
  • Review and discuss strategies and IT policies prior to approval.
  • Manage the Company Home Page or website and ensure that it is updated accordingly.
  • Review and recommend approval of Vietnam media providers as needed.
  • Lead in implementing health-related activities as needed.
  • Lead the dissemination and implementation of company-wide rules and regulations.
  • Oversee safekeeping of Corporate Seal.
INTERNAL ACCOUNTING MANAGEMENT
  • Oversee monthly closing of books; review and consolidate financial documents such as Balance Sheets, Cash Flow, Budget Control Chart, Profit & Loss for reporting to Head Office.
  • Review and approve payment applications and request approval of online/bank transactions from Directors
  • Ensure proper safekeeping of Petty Cash Fund and conduct regular cash count prior to replenishment approval.
  • Present/report monthly Accounts Receivables for collection in Workload and report status to Head Office on the next month.
  • Work with internal and external auditors for any audit concerns.
  • Represent the company for any Tax investigation as needed.
PEOPLE MANAGEMENT
  • Regularly review department's staffing requirements, recommend hiring, source out qualified candidates and conduct interviews and offers as needed.
  • Provide, organize or recommend training and development programs and tools to new and incumbent team members.
  • Manage team performance by cascading company goals, creating department goals and guiding direct reports on goal/expectation setting through regular team and 1-on-1 meetings.
  • Conduct timely performance reviews of direct reports and ensure that appropriate feedback, commendation, salary increase, promotion, discipline and/or improvement plans are given.
  • Review and approve payroll and timekeeping related applications (leave, OT, OB) of direct reports.
  • Conduct regular department meetings and check the progress of work assignments.
  • Handle conflict resolution as it arises.
  • Review, process and report violations of employees and discuss with the Directors for action
JOB REQUIREMENTS
 
  • Bachelor’s degree (or above) in Business Administration, Finance, Economics or related fields.
  • With more than 5 years of Managerial experience
  • Has a solid grasp of different business functions and is very creative in developing business standards, ideas and processes
  • Management and Financial Analysis Skills; proactively shares information and recommends strategies to grow the business
  • Understanding of the establishment of solid internal controls and experience in its maintenance operations
  • Attitude for diligently maintaining internal operations in every discipline in our companies
  • Preferably with sales and marketing skills
  • Has strong leadership qualities, decision-making and problem-solving skills
  • Proficient in English language.
  • Communication skills and interpersonal skills to deal with all levels of the organization
